3. Step-by-Step Submission Guide

This section provides a detailed walkthrough of the BioProject submission process in K-BDS. Follow the steps below to complete the registration smoothly.

⚠️ Note: Required fields are marked with an asterisk (*). Make sure all mandatory fields are filled in before submitting.


1. Enter Submitter Information

In Step 1: Submitter Information, provide details of the primary contact person for this project:

  • Submitter’s full name (English and Korean) *

  • Email address * (institutional email recommended)

  • Organization name (English and Korean) *

  • Department / laboratory name (English and Korean)

  • Country *

  • Secondary contact (optional): name, email, phone number

⚠️ Note: Notifications about project review, approval, and accession numbers will be sent to the submitter’s email address.


2. Set Group Information

In Step 2: Group Information, indicate the organizational affiliation associated with this project.

  • Select an existing group if your research group or consortium is already registered in K-BDS.

  • If no group exists, select No group (affiliation from my personal profile).

📌 Recommendation: Linking to a group is recommended when multiple projects from the same research unit will be submitted to K-BDS.


3. Select Project Type

In Step 3: Project Type, choose the type of BioProject you want to register.

  • Primary Project – A standard BioProject representing a single research initiative.

  • Umbrella Project – A higher-level project used to group multiple BioProjects under a single overarching project.

💡 Tip: Most users should select Primary Project unless managing a multi-project consortium or national-level program.


4. Set Release Date

In Step 4: Release date, specify when the BioProject should be released to the public.

  • Release immediately following processing – The project will be made public as soon as the registration is processed.

  • Release on specified date – You can set a specific date for when the project will become publicly accessible.

⚠️ Note: For Umbrella Projects, only immediate release upon registration is allowed — Release on specified date cannot be set.


5. Provide Project Details

In Step 5: Project Overview, describe the research project in detail.

  • Project Title (English & Korean)*

    • Should be concise, descriptive, and specific.

  • Abstract / Description (English & Korean)*

    • Summarize the scientific background, goals, methods, and expected outcomes (5–10 sentences recommended).

  • Umbrella Project linkage*

    • Select Yes and specify the parent project if applicable.

Example (English):

This project investigates the genomic and transcriptomic landscape of [organism / disease / biological system]. Using multi-omics approaches such as [data types], the research aims to uncover [objective 1], [objective 2], and [objective 3].

Example (Korean):

본 BioProject는 [대상/질환/생물종]에 대해 [데이터 유형]을 활용하여 [목표1], [목표2], [목표3]을 수행한다.


6. Add Research Grant Information (Optional)

In Step 6: Research Project Information, enter details about any related research funding project.

  • NTIS project number (if applicable)

  • English and Korean project titles

  • Funding agency name

  • Project period (start and end year)

Multiple records can be added using the + Add button.

💡 Tip: Linking research funding helps enhance traceability and metadata enrichment for public records.


7. Add Publications and Patents (Optional)

In Step 7: Publications and Outcomes, link relevant research outputs to your BioProject:

  • Publications: PubMed ID or DOI

  • Domestic patents: Application or registration numbers

  • International patents: Application or registration numbers

Multiple records can be added using the + Add button.

💡 Tip: Linking papers and intellectual property enhances discoverability and citation potential of your BioProject.


8. Save, Validate and Submit

Once all required information is entered, you can review, validation, and finalize your submission using the following buttons located at the bottom of the page:

  • Continue: Saves the current step and performs validation before proceeding to the next step.

  • Save: Available only at the final review & submit stage. Saves the submission for final review and initiates the submission process.

  • Delete: Permanently removes the current submission from the system.

⚠️ Note: Each step must pass validation before proceeding to ensure that all required fields are properly completed.


9. Validation and Troubleshooting

The system will automatically validate your submission. Watch for the following common issues:

  • Missing required fields → highlighted with red borders

  • “Yes” selected for umbrella linkage but no parent project specified → warning issued

Fix all validation errors and click Submit again.

✅ Final Step

After submitting the BioProject, you can also register related datasets — including BioSample records, raw sequencing data (KRA), assembled sequences (KNA), expression data (KEA), and spatial omics data (KSO) — either simultaneously or subsequently. Each submission is automatically validated upon submission, and once validation is passed, it is immediately registered and assigned an accession number. When all associated data are submitted, the BioProject will be finalized as a central reference linking all related data under a single research context.
