3. Step-by-Step Submission Guide

This section provides a detailed walkthrough of the BioSample submission process in K-BDS. Follow the steps below to complete the registration smoothly.

⚠️ Note: Required fields are marked with an asterisk (*). Make sure all mandatory fields are filled in before submitting.


1. Select BioProject accession number

In Step 1: BioProject, provide BioProject accession number for this research. If not, BioProject will be created within this submission.

  • Yes: Provide a pre-registered BioProject accession number for this research

  • No: Create a new BioProject as part of this submissions

2. Set Release Date

In Step 2: Release date, specify when the BioProject should be released to the public.

  • Release immediately following processing – The project will be made public as soon as the registration is processed.

  • Release on specified date – You can set a specific date for when the project will become publicly accessible. (Format: YYYY-MM-DD)

⚠️ Note: For Umbrella Projects, only immediate release upon registration is allowed — Release on specified date cannot be set.


3. Select Package

In Step 3: Package, select the package that best describes your samples. Each BioSample submission can include samples from only on package. The selected package determines which attributes and metadata fields are required in the submission form.

Sample categories include:

  • Human

  • Model organism or animal

  • Invertebrate

  • Plant

  • Microbe

  • Virus

  • Pathogen

    • Clinical or host-associated pathogen

    • Environmental, food, or other pathogen

  • Metagenome or environmental

  • MIMS Environmental/Metagenome Package

    • Agriculture, Air, Built, Microbial, Miscellaneous, Sediment, Wastewater, Water

    • Host-associated, Plant-associated, Symbiont-associated

    • Food (animal and animal feed, farm environment, food production facility, human foods)

    • Human (associated, gut, oral, skin, vaginal)

    • Hydrocarbon resources (cores, fluids/swabs)

4. Enter Attribute

In Step 4: Attribute, enter details metadata describing your sample according to the selected package. Each BioSample package requires a specific set of attributes to ensure consistent metadata representation and compatibility with international standards such as INSDC.

You can enter this information directly on the web form or by completing and uploading the Excel template prepared for batch submissions.

⚠️ Note:

  • Required fields are marked with an asterisk (*)

  • For grouped attributes marked with “G”, at least one field within the group must be completed

  • Each attribute must comply with the validation rules defined for its package. When validation errors occur, an error report will be displayed, outlining the cause of the failure and suggested corrective actions. 👉 For comprehensive rule descriptions and examples, see the Appendix: Validation Rules

  • Missing values must be reported according to the Appendix: Missing Value Reporting guideline


5. Save, Validate and Submit

Once all required information is entered, you can review, validation, and finalize your submission using the following buttons located at the bottom of the page:

  • Continue: Saves the current step and performs validation before proceeding to the next step.

  • Save: Available only at the final review & submit stage. Saves the submission for final review and initiates the submission process.

  • Delete: Permanently removes the current submission from the system.

⚠️ Note: Each step must pass validation before proceeding to ensure that all required fields are properly completed.

✅ Fix all validation errors and click Continue again. Successful submissions will be automatically approved and immediately receive an accession number. Each BioSample record is subject to an additional review as part of the biodata registration process. Therefore, the BioSample will remain in a hidden state until the linked biodata (e.g., KRA, KNA, KEA) are approved and made public.


✅ Final Step

After submitting the BioSample, the record will be automatically validated and assigned an accession number once validation is passed. Because each BioSample undergoes an additional review as part of the biodata registration process, it will remain hidden until the associated biodata (e.g., KRA, KNA, KEA, KMAP) are approved and released. When the linked biodata are successfully registered, the BioSample will be updated to status according to the specified release date.
