What is a BioSample?

The BioSample database stores descriptive information about the physical biological materials used to generate data submitted to K-BDS's data archives. Typical examples of a BioSample include a cell line, a tissue biopsy or an environmental isolate. The BioSample database promotes the use of structured and consistent attribute names and values to describe sample properties and provenance. BioSample records are reciprocally linked to data derived from that sample and to the BioProjects in which they participate.

BioSample submission is required as part of data deposit to several KBDS primary data archives including KRAarrow-up-right, KEAarrow-up-right, KNAarrow-up-right and KMAParrow-up-right. Typically, BioSample data are submitted first and assigned BioSample accession numbers (KASxxxxxxxx). The BioSample accession numbers can subsequently be referenced as appropriate when submitting corresponding experimental data to the archival database. At this time, BioSample submission is not required for KHBDB; deposit to those databases triggers automatic creation of BioSample records.


When should I submit data to the BioSample database?

How can I submit to BioSample?

BioSample Submissionarrow-up-right is available only through the web-based submission system.

  • You can register one or multiple samples within a single selected package

  • Before submission, review the BioSample package and attribute information suitable for your sample type.

  • You may also download an Excel template for batch submission, fill it out with your sample information, and upload it.


What information should I provide about my BioSample?

You must select a package that matches the type of sample you are submitting. Each package defines a general sample category and guides you through the relevant attributes to be provided. For detailed instructions on how to fill in the form, please refer to 3. Step-by-Step Submission Guide


What types of validation must my BioSample pass?

The K-BDS BioSample system automatically validates submitted information to ensure completeness and consistency.

Key validation checks include:

  • Mandatory fields must be filled. If data are not available, enter "not collected", "not applicable", or "missing". (For details, see the Appendix: Missing Value Reporting guideline)

  • Uniqueness check: The sample name must be unique within a BioProject and cannot be duplicated.

  • Format validation: Certain attributes (e.g., collection date, organism name) must follow specific input formats. (For details, see the Appendix: Validation Rules)


When will I receive my BioSample accession number?

Once validation is completed, a BioSample accession number is automatically issued. The accession number will be sent to the submitter via email and can also be viewed on My Page. This accession number is required for subsequent data submissions such as KRA, KNA, or KEA.


Does K-BDS perform additional review or curation on BioSample records?

Yes. Each BioSample record undergoes an additional review as part of the overall BioData registration process. Therefore, the BioSample will remain hidden until the linked BioData (e.g., KRA, KNA, KEA) are approved.


When will my BioSample record be released?

You can choose between two release options during submission:

  • Release immediately after reviewing: The record will be released once validation and curation (reviewing) are complete.

  • Release on a specific date: The record will be made public on the date you specify, or upon the release of BioData (e.g., KRA, KNA, KEA) referencing that BioSample - whichever comes first.


How can I modify or withdraw a submitted BioSample?

To update or withdraw an existing BioSample, please contact the K-BDS helpdesk team (e-mail to kbds.help@kobic.krenvelope).


How should I cite BioSample accession in publications?

It is recommended to cite the accession numbers of BioProject, KRA, KEA, or other related data rather than individual BioSample records.
